Transfer and Receive Resources

You can transfer groups of resource items to any other site in your district. This lets you send items to sites that need them from sites that have a surplus.

You can track a shipment, determine whether any items are lost or unreceivable, and see if there are any barcode number conflicts.

Once you transfer items, their Status becomes In Transit. When the destination site receives them, they again have the Status they had at the originating site. If they are new resources, their Status becomes Available.

If there are incoming resource transfers that need attention, Processing Needed appears. To see what is needed, click Processing Needed.

Help Tickets (Transfer Resource Items to Another Site)

The following occurs when transferring a resource item to another site:

  • Help tickets assigned to a district servicing team will continue to be assigned to the district servicing team. A district servicing team can be assigned to any item at any site.
  • Help tickets assigned to an individual will remain assigned to that individual. Offsite patrons can be assigned to help tickets.
  • If a help ticket is assigned to a local servicing team and a member, both will be unassigned. A Help Ticket History item is created and includes two entries – one for the patron and one for the servicing team member.

Transfer Resources from One School to Another

  1. If you are not on the Transfer Resources page (Upload tab), then follow the steps in the blue title bar.
  2. If you are a district resources manager, select the school from which to transfer the items in the From list.
  3. Select the destination school in the To list.
  4. Identify the records to transfer:
    • by Barcode: Either browse to, or create a list:
      • Click Browse to find and select your file of barcode numbers.
      • Place the cursor in the Create a barcode list box, and scan the barcodes, or type them and click Add.
        To remove a barcode number from the list, select it, and click Remove.
    • from List: If you have multiple Resource Lists, select the one with the resources you are transferring.
      To review the contents of the list, click View List.
      If you are a site resources manager, Destiny® transfers all of the local resource items in your Resource List.
      If you are a district resources manager, Destiny transfers only the items owned by the From school.
    • by Item Category: If you have multiple Item Categories, select the one with the resources you are transferring (Not available for district resources managers).
  5. Add an Order #.
  6. To create a packing list that includes the names, barcode numbers, signature line, printed name and date of the signature you are transferring, select the Create a packing list checkbox.
  7. To begin the transfer, click Transfer.

Destiny creates a job summary. Select Back Office > Job Manager. It lists the items transferred (name, barcode number and order number, along with ISBN for textbook resources), as well as skipped items, and the reason.

If the receiving school has designated a contact person on the Notices tab of Transfer Resources in the Catalog, the transfer also sends an email notification.

notes Items that have the status of Checked Out, Lost, Stolen, "Returned to Vendor", In Use or "Out for Repairs" do not transfer.

For a site-to-site transfer, Destiny retains the Custodian and sets the Department and Home Location to Undefined.

You can include any number of resource types in each transfer.

Track a Transfer

Once the transfer is in progress, open the Track tab.

If you are a school resources manager

Under Outgoing Transfers are listed all your active transfers: the destination school, transfer date and time, and status. If the transfer is limited to one resource name, it appears under the status.

To view a listing (description, barcode numbers or quantity, and custodian) of the items in transit, click the view icon.
At the top of the View Transfer page that appears are the Items sent; below those are the Items received.

Once the entire shipment has been acknowledged as received, it moves to Completed Outgoing Transfers.
When you no longer need the information, you can delete it from your list.

If you are a district resources manager

Under Outgoing Transfers are listed all your active transfers: the destination school, transfer date and time, and status. If the transfer is limited to one resource name, it appears under the status.
Once a school receives all the items, the transfer moves to Completed Outgoing Transfers.

Under Site Transfers are the active school-to-school transfers.

Once a school receives all the items, the transfer moves to Completed Site Transfers.
When you no longer need the information, you can remove it from your list.

Stop a Transfer

Until at least one item has been acknowledged as received, you can cancel a transfer you uploaded.

  1. Under Outgoing Transfers, click the view icon adjacent to the transfer.
  2. On the View Transfer page that appears, click Stop Transfer.

If you are a district resources manager and you created the In Transit items in Add Item, all the items are deleted, whether they have barcode numbers or not.
If you transferred items from one site to another, the items return to the originating site with the Status they had.

If you are a site resources manager, the items return to your collection with the Status they had and an Undefined Department, and Home Location.

Receive Transferred Resources

On the Track tab of Transfer Resources in the Catalog are listed your Incoming Transfers: the originating site, transfer date and time, and transfer status. If the transfer is limited to one resource name, it appears under the status.

Receive Items Sent With Barcodes

  1. Click the view icon adjacent to the shipment.
  2. To assign a Custodian, Home Location, and/or Department to the items, click Assign To. On the Assign Values page that appears, you can select a Custodian and select or define a Home Location and Department.
  3. Use one of the following methods to receive the items:
    • At the top of the list, scan each barcode, or type it in and click the large Receive.
      Using this method, you can designate a certain Custodian, Home Location, and Department for some of the items and receive those, and then change the assignments and receive additional items.
    • Click Receive All to accept the whole shipment. If you chose to assign a Custodian, Home Location, and/or Department (above), Destiny adds that information to all of the items. Please note that this is the only option that generates a job summary.
    • Click Receive adjacent to each one, to accept them one by one.
      This method also allows you to change the Custodian, Home Location, and Department assignments for any of the items.
    The items move from Items Sent to Items Received on the View Transfer page.
  4. If you did not use the Receive All option that generates a job summary, print the list by clicking Print It.

Once you have accepted all the items, the transfer moves to Completed Incoming Transfers.

When you no longer need the information, click the red X to remove the transfer from your list.

Create the File with a Text Editor

  1. Open your text editor.
    The file should not have any header.
  2. Scan or type in the barcode numbers, one per line.
  3. Name and save the file. Make sure to save it as a .txt file and record the name and location of the file.
